How to use Microsoft Bookings

Microsoft Bookings is a tool that allows users and teams to create simple, self‑service scheduling pages. These booking pages let others schedule time without back‑and‑forth emails by automatically syncing Outlook calendars.

 

Please skip to step 5 if you would like to disable Bookings.

 

 

1.       Access your Bookings page

 

a.       Open the Outlook app and click on the last box in your left menu.

 

b.       After you click the more apps box, you will be presented with a search bar, search for Bookings, and open the app

 

2.       Create a personal Bookings page

 

a.       Once inside Bookings, you can now create a Personal bookings page by clicking "create meeting type" in the top right corner.

 

b.       After you have created your title, you will then have the option to make your Booking page private or public. Selecting private will only allow access to users with the link, while public will make your page discoverable to everyone.

 

c.       Next, you will set the allowed meeting duration and your available meeting times.

 

Under schedule customization, if you set your availability to “use my regular meeting hours,” users will be able to schedule a meeting anytime you are available on your Outlook calendar.

 

If you use the “Use custom availability hours” setting, you will then be able to manually set your available meeting times.

 

d.       After you have finished the steps above, click save in the top right corner to create your page.

 

e.       To share your Bookings page, click the small arrow above your new page, and you can then copy the link or share via email.

 

3.       Create a shared Bookings page

 

a.       Open Bookings to the home page and select “Create booking page”.

 

b.       Afterwards, select create from scratch and add your name, business type, and available hours. Once complete, select next.

 

c.       On the next page, you can add your team members by searching for their name and clicking on them.

 

 

d.       Select next on Step 3, as we have already created the service

 

e.       Now we will select who can view the page

 

If you select “No self-service,” this option ensures that only team members can create, edit, or cancel appointments. Users will be unable to access your bookings page unless they have a New River email address.

 

If you select “people in my organization,” users will be unable to access your bookings page unless they have a New River email address.

 

If you select “Anyone,” your bookings page will be available to anybody who has the link.

 

4.       Manage your bookings service

 

a.       Once you have created your shared bookings service, you can now view and edit the service by clicking inside the new box on your Bookings app.

 

b.       Inside this page, you will be able to add new team members to the Bookings group, view upcoming meetings, view your customers, edit your Bookings page, and adjust your meeting availability.

 

 

 

5.       Turn off Bookings for your account

 

a.       Open the Outlook app and click on the last box in your left menu.

 

b.       After you click the more apps box, you will be presented with a search bar, search for Bookings, and open the app

 

c.       Once you have opened Bookings, click the three dots in a line towards the top right of your screen and select “Turn off your Bookings page.”
